We understand that sometimes things come up—sites may be overbooked, weather might affect availability, or your calendar may not reflect last-minute changes. If your campground was listed by Hipcamp and you haven’t yet verified your listing, we may place a booking on your behalf when a camper submits a reservation. If you can’t accommodate that booking, don’t worry—we’ll handle the situation for you.
This article explains what to do and what to expect if you need to decline or cancel a booking placed by Hipcamp.
If the booking can’t be placed, nothing happens
When a camper submits a booking request, Hipcamp attempts to place the reservation with your campground using your regular process (online booking system, phone, or PMS).
If the dates are unavailable or your system doesn’t accept the booking, the camper is simply notified that their request couldn’t be completed. They are not charged, and no further action is required from you.
If the booking has already been placed, let us know as soon as possible
If an existing booking has been placed with you that you can’t fulfill, please contact Hipcamp Support as soon as you’re aware. The sooner we know, the sooner we can help the camper find a new place to stay.
We’ll notify the camper and manage the cancellation
Once you let us know you can’t accommodate the booking, we’ll contact the camper to explain the situation and help them rebook elsewhere.
You don’t need to contact the camper directly—we’ll manage communication on your behalf.
There’s no penalty or charge to you
We understand that availability issues happen from time to time. If you’re not yet verified and a Hipcamp booking needs to be cancelled, there’s no penalty to you.
We may follow up to confirm the reason and help prevent future conflicts, but our goal is to make the experience as smooth as possible for everyone.
