It all depends on your set cancellation policy. If a Hipcamper cancels or modifies the dates of their booking outside of your policy, you will be paid accordingly. As a refresher, here are the policies you can choose from:
- Super Flexible - If a Hipcamper cancels anytime before their check in day and time, they’ll receive a full refund (minus Hipcamp fees).
- Flexible - If a Hipcamper cancels at least 24 hours before their check in day and time, they’ll receive a full refund (minus Hipcamp fees). If they cancel less than 24 hours before check in, there will be no refund.
- Moderate - If a Hipcamper cancels at least 3 days before their check in day and time, they’ll receive a full refund (minus Hipcamp fees). If they cancel within the 3 days before check in, there will be no refund.
- Strict - If a Hipcamper cancels at least 1 week before your check in day and time, they’ll receive a full refund (minus Hipcamp fees). If they cancel within the 1 week before check in, there will be no refund.
- Strict (14 days) - If a Hipcamper cancels at least 14 days before your check in day and time, they’ll receive a full refund (minus Hipcamp fees). If they cancel within the 14 days before check in, there will be no refund.
- Strict (21 days) - If a Hipcamper cancels at least 21 days before your check in day and time, they’ll receive a full refund (minus Hipcamp fees). If they cancel within the 21 days before check in, there will be no refund.
- Super Strict - If a Hipcamper cancels at least 1 week before their check in day and time, they’ll receive a 50% refund (minus Hipcamp fees). If they cancel within 1 week before check in, there will be no refund.
- Super Strict (30 days) - If a Hipcamper cancel at least 30 days before your check in day and time, they’ll receive a 50% refund (minus Hipcamp fees). If they cancel within 30 days before check in, there will be no refund.
- Super Strict (no refund) - If a Hipcamper cancels no refund is given.
💸 If a camper cancels
If the camper cancels within the non-refundable window, you’ll still be paid in full for the booking, even if they don’t stay. If the camper cancels outside the non-refundable window, they’ll receive a full or partial refund—and your payout will be adjusted accordingly.
Examples:
- You have a Strict policy (7-day notice). The camper cancels 5 days before. You still get paid the full amount.
- You have a Flexible policy (24-hour notice). The camper cancels 2 days before. You won’t be paid, and the camper gets a full refund.
You’re always welcome to offer a refund after the fact, even if your policy doesn’t require it.
🗓 If a camper changes their trip dates
Date changes follow the same rules as cancellations—your cancellation policy still applies.
Example:
You have a Moderate cancellation policy (3-day notice).
- If the camper changes their dates 2 days before check-in, you’ll still be paid for the original dates, even if they don’t stay, and also for the new dates.
- If the camper changes their dates more than 3 days in advance, the original dates will be refunded, and you’ll only be paid for the new trip.
You’re always welcome to refund any portion if you choose—for example, if the camper never intended to skip nights.
👥 If a camper changes their group size
Group size changes do not affect your payout unless you're charging for additional guests.
If the camper reduces their group, you’ll still be paid for your base rate and any other fixed charges. You’ll only receive less if the removed guests were part of your additional person pricing.
Example:
If you charge $10 per extra guest and the camper removes 2 guests that were outside of your base price, they’ll be refunded $20—and your payout will be adjusted accordingly.
🤝 Can I choose to waive my cancellation policy?
Yes—if for any reason you would like to waive your cancellation policy and ensure that a camper is not charged a modification fee, please contact Hipcamp Support. They will be able to modify the trip and bypass your cancellation policy.
